General Information & Policy

Onsite Check-In

Introduction

The main event for 2023 ISBC starts from dinner on 8/3/2023. Upon your arrival, you should check in to access your dormitory and get a meal card. The location and process for the check-in depends on: A) your arrival date/time and B) your printed registration badge (Sample). We divide the check-in process into two periods: Day (8am – 10pm, same day) and Night (10pm – 8am, next day). We divide the arrival dates into three: Early (7/31 – 8/2/2023), Normal (8/3/2023), and Late (8/4 – 8/5/2023)

The main location for the check-in is one of UBF Office, Nugent Front Desk and PAR Front Desk, except during the Normal Arrival. Please refer to map for the locations of UBF Office and Nugent Front Desk. The Nugent Front Desk provides keys to Bousfield, Wassaja, Hopkins and Scott Hall. The PAR Front Desk provides keys to Babcock, Blaisdell, Carr, and Saunders Hall. The Nugent Front Desk has one exception. When you arrive between 2pm and 6pm on 8/3/2023, it is closed. You should not go to the Nugent Front Desk. Instead, you go to your assigned Hall on your badge. Please refer to Table C.0.

*NOTE: Coach Buses will drop off at SFC West Entrance.

*Please read the instructions if you arrive close to Thursday dinner or even after.

Day Period: Person with Registration Badge

Onsite Check-Out

The checkout means you leave your room with no intention of returning. When you are ready to check out of your room, survey your room to ensure that you have not left your belongings in the closets or drawers. If you have children, please help them. Please, turn off the lights, leave any UIUC linens in the room, and lock the door. You return your room key and meal card to UIUC staff. You look for your room number on the UIUC roster and check off your name as proof of returning key. If you do not return the key, you will be charged $50. No exception for children. Please assist your children if you have any.

UIUC defines three stages for the checkout. They are Early Checkout, Official Checkout and Closing Time.

Dorm Room Key

Each attendant receives a physical room key to access their dorm room. Lost key fee is $50, payable by conference attendant directly to UIUC at checkout.

Meals

We have set up two modes of meal operations due to logistical requirements: one before the main event (pre ISBC) and the other during ISBC. The main difference among them is the time and menu.

  • Each attendant will receive a conference meal card. The same card also grants access to their assigned dorm building.
  • Your designated dining hall will be indicated on your name badge. Please, use your designated dining hall.
  • Each meal card can be used only one time at each meal service. If you forget your card in your room, you must go to retrieve it.
  • Children will also receive meal cards. It is suggested that parents manage their children's card to reduce lost cards.

Parking

UBF Long-Term Parking is located at the State Farm Center (Northwest lot & Southwest lot) and Lot F23 near (Kirby/Florida Ave & Lincoln Ave) which is nearby the Pennsylvania Avenue Residence dorms (PAR). There is no charge to park at the above listed parking lots. Avoid parking at other lots.

For those staying in Ikenberry Commons dorms: Bousfield, Wassaja, Hopkins or Scott, attendants should park and leave their car at the State Farm Center (Northwest or Southwest lot). Do NOT park at the lots near the dorms. Those are NOT available for UBF. All the residence halls are about a 10 minute walk (2-3 blocks) to SFC. So no passenger vans for transportation.

There is limited Short-Term street parking around the UIUC Campus. Meters are either coins or by using the Mobile Meter app (https://mobilemeter.us). It is advised to add the app if you anticipate needing short-term parking during the conference. Note that there is strict parking meter enforcement.

For those staying in PAR dorms: Carr, Babcock, Blaisdell or Saunders, Lot F23 is reserved for UBF Parking. After UBF check-in, those staying in the PAR dorms should drive & park in Lot F23. Driving to/from the State Farm Center for the general sessions is recommended due to long distance. For only those staying in PAR dorms who do not have a car: we will run 15 passenger vans between State Farm Center and PAR before and after general sessions.

Recreation

We promote recreation during the conference. Your body is as important as your mind. In fact, you may end up walking from dormitories to State Farm Center (SFC) for between 15 minutes and 30 minutes depending on where you are. It is natural exercise, part of recreation. In addition, we have created a program: Sports/Free time on Saturday afternoon. We have reserved the UIUC facilities from 3pm to 5 pm on Saturday, August 5, 2023. Please review ISBC Sports-Free Time Fields Reserved.pptx for their location. We understand they are insufficient to accommodate all of you during the Sports time. If you want to organize a sport and need a field or court, please contact John Peace. You should bring your own equipment such as soccer balls and tennis rackets. If you want to use those facilities outside the reserved hours, you can use them so long as they are available.

UBF Office during Conference

The office is open to everyone during the conference. Its location and schedule are shown below. The office has its phone, which takes calls only during the hours of operation. You are welcome to leave a message either by voice or text when nobody answers. Office managers answer them during office hours, depending on the contents.

The office provides you with many services. For example, the office assists you with registration (Note. Detailed process will be announced later). Some wonder if their friends from other countries attend the conference. Some have an issue with their room. Some lose their precious belongings. The office staff can answer these inquiries to the best of their abilities. The office also provides conference managers with its place and equipment even outside the hours of operation. Please contact the manager Mark T. Lee should any manager need to do so.

Home Team

The Home Team consists of UIUC students. Although we are few, we are here to serve you in any way we can. One of our tasks is to post signage on streets or walls so that you easily identify places when you arrive and provide a ride between Pennsylvania Avenue Residence (PAR) and State Farm Center (SFC) as necessary during the conference.

Some will arrive from Monday 7/31/2023 before the main conference on Thursday 8/3/2023. Some conference staff arrive early to prepare their services for others such as check-in. Some attendees to MSC arrive early. Some foreign delegates arrive early due to travel constraints. We will offer services such as sharing information about sightseeing nearby and even providing rides within our capacity. We will especially operate several meetings before the main conference so that you come and have fellowship with others. David Gates, Home Team Manager, will make announcements and share prayer topics. Anyone who has no tasks or meetings are all welcome to join them. Please see the location and schedule below

Policy

Age limit

There is no age requirement, but in general children under 5 are discouraged from attending due to the challenges parents will face. For example, dormitory beds are all single beds or bunk beds which are not conducive to those children. Parents will be responsible for caring for them with limited assistance. See Childcare for more information.

Fee for early arrival

The conference fee is explained and posted on Registration. It covers all expenses during the main event starting from Thursday dinner on August 3, 2023. Its payment is part of registration. In addition, we provide meals and beds from Monday 2pm on July 31, 2023. This special accommodation is out of necessity and free for Foreign Delegates, conference staff and anyone who has a good reason for early arrival. Otherwise, we will charge an extra fee during the check-in as deemed appropriate ($10/meal, $40/bed/night).

Teen registration

ISBC Registration defines four groups for layered admission fee: Graduates, College Students, Teen and Child. In addition, the registration website prevents Teen and Child from registering for themselves. One group Teen means a person under eighteen by his date of birthday (DOB) with respect to the starting day of conference, which is anyone born after 8/2/2005. For example, a boy at the age of seventeen is normally a high school senior in North America. Their parents should register him so that the parents pay his fee for Teen and stay together with him as a family. We assume that both the parents and the boy travel together. On the other hand, the school systems of Foreign Delegates are not necessarily the same as those of North America. Some high school students can be older than 18 years old by the conference date according to their DOB. Furthermore, some high school students are mature enough to be independent in the sense that they travel independently and can sleep with their friends although their age is less than eighteen years old. For example, some high school students attend the Vision Camp and join one of the Tour Program after the conference without parents. In such a case, they should register for themselves as Regular and select the group College Students. They should enter all the required questions during the registration including travel plan. The fee for College Students is higher by $30 than that for Teen. If their age is qualified for Teen as explained above and they cannot afford the additional fee, they should contact Helen Jung via ‘Contact Us’ and request a discount. We assume that they join the UBF program during the conference. If they want to join the HBF program, they should contact Steven Lee via ‘Contact Us’. If so, they should choose the option ‘No’ for the group Bible study during the registration.
